TURBOLEASE / RENTAL MANAGEMENT
Rental management terms
Version: October 17, 2026
These supplemental terms apply to the tools for managing an existing tenancy: rent records, monthly rent confirmations, notes and tenant access. They do not replace an existing Canadian applicant-screening subscription or change its price or contractual rights.
New USD subscriptions are not open on this deployment. The demo uses fictional data and does not create a subscription or a charge. The proposed plans below can be previewed before purchase becomes available.
1. The service and your responsibilities
The landlord enters the agreed rent and tenancy details, invites the tenant by a private link, records payments received and reviews updates. The tenant may accept the invitation, choose monthly emails, report whether rent was paid and add an optional note. Keep entries accurate, relevant and limited to this tenancy. Do not include bank statements, account credentials, identification numbers, health details or unrelated personal information in notes.
A tenant’s response is their declaration. A landlord’s payment entry is a manual record. Neither is bank confirmation, a financial assessment or a consumer screening report. Rental management does not collect the rent or make a housing eligibility decision. Your lease and applicable local rights govern the tenancy.
2. Tenant choice and monthly emails
Monthly rent-confirmation emails require the tenant’s opt-in in their own portal. They can withdraw that choice in the portal at any time; future monthly emails stop. Withdrawal does not erase earlier responses or the landlord’s rent records, and does not change the lease or the obligation to pay rent. A missed update is not proof of unpaid rent. The landlord must not represent this optional email choice as authorization to access a bank account or monitor income.
3. Plans, price and payment
New rental management plans are monthly subscriptions in US dollars. Each includes rent records, monthly update history, a tenant portal and email reminders within its active tenancy limit:
- Home: $19 USD per month; up to 3 active tenancies.
- Portfolio: $39 USD per month; up to 10 active tenancies.
- Business: $79 USD per month; up to 25 active tenancies.
Applicable taxes and the total to be charged are shown before confirmation. Where purchasing is available, Stripe handles payment. The subscription renews monthly until you cancel renewal. No paid bank checks, income monitoring or financial reports are included. These proposed prices do not authorize replacing an existing subscriber’s CAD contract.
Existing Complet, Gestion and Compagnon subscribers keep their existing subscription price, currency, cancellation rights and other contractual terms. Their rental management access follows the allowance of their existing plan without an additional rental management subscription. Complet and Gestion subscriptions purchased now also include up to 3 and 10 active monthly tenancies respectively, under their CAD subscription price and cancellation terms.
4. Cancelling a new USD subscription
Cancel renewal from your account. Your access continues until the actual end of the paid subscription period shown in the account. After that period, the paid tools and future monthly emails stop; cancellation does not itself delete rental history. Contact us if you cannot access cancellation. Applicable statutory cancellation, refund and other rights remain unchanged. Existing Canadian subscriptions continue to follow their existing contract terms.
Rent follow-ups
A landlord can enable up to two additional rent-update emails for a tenancy. The tenant must separately choose these follow-ups and keep monthly emails enabled. Follow-ups are scheduled 1 and 5 calendar days after the agreed due date, using the tenancy’s timezone and daytime sending hours. They require a prior monthly email and are skipped if enabled too late for that stage. A missed sending window is not backfilled indefinitely.
Any tenant reply or recorded payments covering the agreed rent stops further follow-ups for that period. Partial payment entries remain visible for review. Disabling either required email choice, turning off the landlord setting, ending the tenancy or losing paid access also stops future sends. Keep payment records current: the service cannot detect a payment received outside the dashboard. Follow-ups ask for a record update; they do not impose fees, demand payment, serve legal notices or begin collection proceedings.
Lease files and renewal planning
The lease workspace stores signed-lease files on the landlord’s upload instruction and records confirmed dates, reminder tasks and tenant planning responses. Only upload relevant files you are authorized to store and provide the privacy notice to the people concerned. File storage does not authenticate a signature, verify a person’s identity, replace the signed original or certify the terms of a lease. Downloads and removal remain available for retained files when a subscription becomes inactive; new uploads and paid automations require active access.
You confirm the reminder date for your situation. Lease continuation, notice windows, required forms, service and response rules vary by location and lease type. The system does not send a statutory notice, change rent, decide a renewal, end a tenancy or make a housing decision. A tenant’s planning response is informational; it does not replace any required formal notice or agreement. Check the applicable official rules and complete any formal steps separately. We record task and response history so you can follow up.
5. Availability and records
Manual rent records and optional rent-confirmation emails are available for monthly tenancies in United States, Canada, Australia, New Zealand, Singapore, and Hong Kong SAR China. Weekly and fortnightly schedules are not supported. UK and EU markets remain in preview. This availability does not include bank services, screening, rent collection, statutory notices or a guarantee of compliance with every local tenancy rule.
Keep your own copies of records required for legal, tax or accounting purposes. The service’s retention period is not your statutory recordkeeping period. CSV exports contain the currently retained entries and distinguish landlord-entered receipts from tenant declarations; they do not replace any locally required receipt, rent book or tenancy document. The privacy supplement explains deletion of monthly updates, payment notes and ended tenancies.

Landlord processing agreement
landlord-processing-2026-10-16-v1
This agreement is between the landlord organization controlling the workspace and 9575-9171 Québec inc., the Canadian operator of TurboLease. An authorized account holder accepts it for the workspace when creating its first tenancy under this version. We record the organization, accepting account, language, version and acceptance time. We do not infer acceptance from an existing subscription or tenant email consent. It supplements the rental management terms without changing an existing subscription’s price or currency.
Instructions and responsibilities
The landlord determines why tenancy records are kept and which relevant details are entered. TurboLease processes those records on the landlord’s documented instructions to store and display rent entries, provide the private tenant portal, deliver the tenant’s chosen monthly emails, support exports and administer access, correction and deletion. The service settings, this agreement and lawful requests to our privacy contact are those instructions. We do not reuse tenancy notes or payment records for advertising, an unrelated customer, a tenant blacklist, financial monitoring or housing decisions. TurboLease separately manages account authentication, service security, billing and its own legally required records.
The landlord must have a lawful basis to provide the records, give tenants the linked privacy notice, keep entries accurate and minimal, respect tenant rights and preserve independent copies needed for local obligations. The processing categories are the tenancy/contact details, dates, rent amounts, manual payment records, optional declarations/notes and access/consent records described in the privacy supplement. Do not enter sensitive information unrelated to rent administration. A tenant’s optional email choice does not replace the landlord’s own privacy duties.
Security, providers and overseas processing
We restrict record access to authorized accounts and people who need it to provide or support the service, subject to confidentiality duties. We apply secure transport, organization-scoped access, verified-email tenant membership, hashed invitation tokens and the deletion controls described in the service. We engage infrastructure providers for limited service purposes and remain responsible to the landlord for the processing we entrust to them. We require appropriate contractual security, confidentiality, limited-use and deletion safeguards for that processing, including overseas handling; using a provider does not remove these duties.
The landlord authorizes the infrastructure providers identified in the privacy supplement and main privacy policy for their stated functions: Canadian application/database hosting, security and authentication, US email delivery and any separately purchased account billing. We will inform the account contact before a material planned change to tenancy-record subprocessors and allow a reasonable opportunity to raise a data-protection objection. Contact our privacy officer for processing information, a proposed change or an instruction the service cannot fulfil. Provider names or published terms are not a claim of country certification or that a particular vendor document has been separately signed.
Assistance, incidents and end of processing
We assist the landlord, within the service’s scope, with verified requests for access, correction, deletion and applicable privacy duties, and provide information reasonably needed to assess our handling of tenancy data. We will notify the landlord without undue delay if we become aware of a breach affecting its tenancy records, and cooperate on response and applicable notification duties. Send these requests to the privacy contact in the supplement. We may refuse an unlawful instruction and explain the issue; this agreement does not waive any tenant’s mandatory rights.
Processing lasts while records remain in the service under the disclosed retention schedule. The landlord can export currently retained records, end a tenancy and request applicable deletion; ending a tenancy stops reminders but does not immediately erase history. Monthly requests/declarations and notes are deleted after 365 days, payment notes after 365 days, and ended tenancies and remaining linked records 365 days after their recorded end. Delivery metadata is deleted after 30 days. Organization deletion removes its linked tenancy records and processing acceptances. An acceptance remains with the organization while its account exists; its accepting-user link is removed if that user is deleted. Keep required independent records before deletion. This agreement does not promise extended statutory archiving or alter the tenant’s separate email choice.
